How to send large video files: getting a wedding film to the family in one piece

To send large video files free, choose your tool by file size rather than habit. Under 2 GB, WhatsApp will send it as a document. Up to 5 GB, a free transfer site will work. Beyond that, either send it peer to peer with both machines running, or shrink the file first. Email and the standard WhatsApp video button will not work.

The arithmetic of a wedding film

A video file's size is its bitrate multiplied by its length, and nothing else. Divide a bitrate in megabits per second by eight to get megabytes per second, and multiply by the seconds. A 4K film exported at 100 Mbps is 12.5 MB for every second, which is 45 GB an hour. At 50 Mbps it is 22.5 GB an hour. A five-minute highlight reel at those rates lands between 1.9 GB and 3.75 GB.

This single calculation explains most of the trouble. An email attachment limit of 25 MB buys two seconds of footage at 100 Mbps. Ordinary channels will never carry the full film. No amount of retrying can alter the arithmetic.

The ceilings everyone hits

Three limits account for nearly every failed send.

• Email: Gmail limits file attachments to 25 MB and quietly converts anything bigger into a Google Drive link.
• Cloud storage: You get 15 GB of free storage with a Google Account. Gmail, Google Drive and Google Photos share that space. A 38 GB film will not fit, even before your inbox takes a share.
• WhatsApp: A file sent as a document can be up to 2 GB. WhatsApp announced this limit in May 2022. Use the normal video button instead, and the clip gets compressed on its way.

Free transfer services, compared

Any method to share large files free trades one catch for another: size, time, or the sender's patience.

WeTransfer is the one everyone knows, and its free plan allows "up to 10 transfers or 3 GB in any 30-day period", with free uploads kept online "for up to 3 days". Fine for a highlight reel, useless for the full film, and a relative who opens the link on day four gets nothing.

SendGB offers more room, sending "files up to 5GB for free", which covers most highlight reels and some short ceremony edits.

ToffeeShare removes the limit by removing the server. Files go directly from one device to another, and the site says "because we don't store the data, there's no need for file size limits". The price is that the sender has to keep the browser open until the recipient has the whole file, which for 38 GB on home broadband is an evening.

Making the file smaller first

Often the best answer to how to send a large video is a smaller file rather than a bigger pipe. Modern codecs do a great deal of the work. The standard behind most phones' video, HEVC, was designed for "in the range of 50% bit-rate reduction for equal perceptual video quality" relative to the standards before it, according to its designers' overview in IEEE Transactions on Circuits and Systems for Video Technology (Sullivan, Ohm, Han and Wiegand, 2012). Half the bitrate is half the file, by the same arithmetic as before.

A sending routine that works

1. Look at the size before you pick a tool. The file details show which limit applies to you.
2. Deliver the highlight reel by itself. Most relatives will watch this cut, and it usually fits inside a free transfer.
3. Shrink files you send on WhatsApp. Export a copy for the chat. Save the original in the archive.
4. Send the full film peer to peer, or on a drive. Once you pass 30 GB, a direct line or a USB drive passed across at the next family dinner beats any upload.
5. State when a link will stop working. A three-day link sent on a Friday is dead by Monday.

Mistakes that cost a weekend

• Sending the master file. Relatives want to view the film, not edit it. Keep the master with the person who stores it.
• Relying on the regular WhatsApp video button for a keepsake. The app compresses files in transit. Send the clip as a document if it needs to stay intact.
• Uploading on venue Wi-Fi. When a file drops at 80 per cent on a shared network, it starts over from scratch.
• You forget the recipient's storage. A 38 GB download to a phone with 12 GB free will fail for them, not for you.

The photographs are a different problem

Video is one large file to a few people. Photographs are the opposite: thousands of small files to hundreds of guests, each of whom wants only the handful they appear in.
